Megson FitzPatrick is looking for an ambitious, self-driven Executive Assistant/Facilities Coordinator to assist the executive management team and to coordinate supplies and maintenance at all our locations.

 

Main Responsibilities:

  • Prepare agendas for meetings
  • Attend and take minutes at meetings
  • Manage milestone birthday’s and anniversaries
  • Manage and order supplies for mail machine and printers
  • Order office supplies; stationary and janitorial
  • Coordinate office building maintenance (internal & external) for all locations
  • Place dairy and coffee orders
  • Manage email distribution lists
  • Assist with event planning and fundraising campaigns
  • Schedule meetings, video conferences, appointments, travel arrangements, accommodations and reservations
  • Credit card reconciliation for executive team
  • Provide reception coverage
  • Foster and support initiatives as they relate to corporate culture
  • General office duties: photocopying, letter writing and ad hoc reports as required
  • Coordinate off-site storage
  • Other duties and responsibilities as required

 Location and Status:

Victoria, BC

Permanent full-time employment (35 hrs/week)

 Qualifications:

  •  3-4 years’ experience in an administrative role would be considered an asset
  • Intermediate to advanced level with Microsoft office including Outlook, Word, Excel & PowerPoint
  • University or college education in a Business-related field would be considered an asset
